I have attached the calendar that I use to keep all my students straight. You can also do something similar in New Innovations with the Med Scheduler. When you log into your ACGME Accreditation Data System (ADS) and click on Overview on the right hand side you can see “Important Dates.” Right now mine reads Annual Update Status – July 2022 thru Sept 2022 – DIO approved: Sept 22, 2022. Those are the required updates and the window in which you must complete them. So I expect it will be around the same time this year.
When you say “Schedule Changes” you are referring to your Block Diagram, correct? The Block Diagram does not reflect each resident every year. It is your most excellent plan for one resident from PGY 1-5. For example, all PGY 1 complete these rotations, all PGY 2 complete X, X, etc., rotations. So, if one of my PGY2’s doesn’t get a chance to complete a Hand Rotation, then I know that PGY2 will need to complete it in PGY3 because all residents get a junior and a senior rotation in Hand. But I don’t have to change my Block Diagram unless there is a shift that all PGY3 will complete a Hand rotation as their junior rotation.
Program Letter of Agreement (PLA) updates can be done when you request a new location that requires a PLA or any time there is a change in the PLA.
So the short answer is that you can submit these documents any time beforehand, but you must have them completed during your Annual Update Status window.

Our trauma fellowship is accredited by the OTA. We use the OTA logo and our institution logo (WellSpan) on the certificate. We have our Program Director, VP of the Ortho Service Line, Director of Medical Education, and the president of the hospital sign. Since the program director determines whether the fellow is competent to graduate their signature would be the most important.

We do not have a research rotation. The 60 days is ongoing during their rotations and is noted in the Block Diagram. So there are different ways this requirement can me satisfied.

I don’t know if this would be helpful to you or not but we do a quick evaluation with patients that are seen by the residents in clinic for our 360 eval.
I attached a copy of the evaluation. It’s two per page and I add the resident name and then cut them. Each pt just completes one evaluation.

Laurel LewisKeymasterOur graduates get a Tree of Andry from https://www.orthopaediclist.com/category/manufacturer-cave-folk-creations-manufacturer.html from the residency. They are beautiful! Each one is handmade and comes in a huge box to protect the artwork. The GME department gets them the captain’s chairs described by Joan and a mantle clock.
Residents and fellows also get an acrylic “award” for lack of a better term, that we created with their name, our logo, grad date, and the last stanza of Robert Frost’s poem, The Road Less Traveled (my favorite 😉 ).

All of our residents have lead because they use Fluoroscopy. I think I spelled that big word correctly!!
Is there more specialized lead for pregnancy?

It depends upon which report you are pulling. We check quarterly and I pull two reports Surgery Minimums and Experience by Year (attached). The last column is Total and since there is a zero for Incision that means the resident did not log any of those cases. There will only be data in any of the reports if the resident logs the case.
So, yes, the resident may have completed a case but it “didn’t happen” unless they put it in their case logs.
