KeymasterI think that was Angelica who presented this idea as a New Coordinator on the PD/PC Panel at CORD!
We use spreadsheets on Teams that can be edited by all the residents and me to keep in touch regarding the following for each academic year.
- Flu shot date
- QuantiFERON Gold (PPD)
- Memberships and Numbers
- Institutional “Education” requirement
- Orientation requirements completed
- Graduation requirements completed
- License expirations
- ATLS – BLS – ACLS expirations
- Contracts
- Required education completed
- Courses and Conferences attended, dates, and locations
- Yearly updated CV submitted
- Research and presentations submitted
- Car Information
- ACGME Scholarly Activity
Interns submit names of faculty during their “general education” months via a shared spreadsheet so I know who to send a evaluation to for them. We also have spreadsheets to communicate Morbidity/Mortality cases and Arthroscopy/Imaging cases for those conferences.
Now, do I have to remind them to update, yes, that happens. But then I have the information available to me when I need it. This is better for me than sending them long emails that they do not want to read!! 🙂 Sometimes I text a picture and ask them to update the spreadsheets.
This works out well for us but I would love to hear how, and about what, others communicate with Med Students, Residents, Fellows, and Faculty.

The ACGME leaves it up to your program/institution as to how you are permitted to work; as you already know from reading the CPRs (Common Program Requirements: https://www.acgme.org/programs-and-institutions/programs/common-program-requirements/ ).
I am lucky that I have the option from my institution to work hybrid. I don’t often work at home but it is nice to have that option.
I know of many coordinators who have worked almost exclusively at home and just pop in when they are needed. In fact, for about 2 years we had a FM coordinator at WellSpan who moved from PA to FL and she kept her job for that time.
I hope we can hear from others as to their situations so that you have some other views!

Sorry, I just saw your post. Did you get issues resolved? Please post so others can be made aware of any issue!
It is always a good idea to have your IT test computers ahead of time and have them on stand-by, too.
I have one in-person resident testing today with no issues. The IT guy stopped by as well to double check on us as I probably seemed frantic when he was working on the computers that we are using!! 😉

Make sure that you have your residents run the system test to ward off any software issues, ahead of the exam; ex: testing on a Mac where their operating system is too old. Best case is to have your IT department download the browser and test all the computers being used ahead of time.
Also, it is a good idea to have a qualified IT person from your institution who can help you with any technical issues like firewalls, for example, ON CALL.

is taking place today at 2PM Eastern.

Following are the instructions to register:
- Log into the ARCOS website at https://arcosonline.org
- At the top of the page, click on ‘Upcoming Events’ then click on view as list or view as calendar.
- Click on the virtual session Cortex in Action! Hands-On Applicant Data Transfer Workshop and complete the quick registration.
- You will receive an email with your registration confirmation and Zoom link.
- Click on the attachment (icals.ics) to save the event on your calendar and paste the Zoom access information into your calendar event.
