    How does your GMEC handle the institutional requirement 1.12.d when it comes to oversight of APE’s (PEC)?

    Anna,

    We utilize a standardized APE form that must be completed and submitted to the GME Office annually, typically by September 30.  This form documents the findings of the PEC, highlights program strengths and areas for improvement, and outlines an action plan to address identified issues. It encompasses key areas including:

    Program goals and objectives
    Curriculum effectiveness
    Board pass rates
    Resident/fellow and faculty evaluations
    The clinical and educational work environment
    Progress on previous action items
    Following submission, a review meeting is scheduled with the DIO, Program Director, and Department Chair to discuss APE findings, assess progress on the action plan, and identify areas where institutional support may be beneficial.

    Common themes or trends identified across APEs are shared with GMEC and may help guide topics for faculty development sessions, department retreats, or collaborative efforts across programs to address shared challenges, showcase successes, and encourage innovation.

    We are required to include a copy of our annual PEC minutes with our annual report to our institution’s GME Committee.

    As Cindy said, same here at UToledo.. Our programs complete an Annual Program Evaluation (APE) within New Innovations.

    Questions link back to accreditation status letter/ RRA decisions/ scholarly activity/ PEC meeting, etc. as Cindy listed. Sometimes they change a few questions and focus on certain requirements and how they’re met within the program (i.e. fatigue management education, health care disparities, and so on).

    Much like Cindy, our institution uses MedHub to standardized our GME PEC APE review that is completed and submitted to the GME Office annually, typically the Mondy after the ACGME ADS are due.  Our form has standardized sections / questions targeting specific requirements / competencies from the ADS.  We are required to submit SCOT analysis documentation.  Sections: Program Oversight, Program Personnel, Trainees, Educational Program, Evaluation, Learning & Work Environment,

    We must upload the below required documentation:

    • WebADS Summary Report w/ Block Diagram
    • ACGME Letter of Notification & Correspondence
    • ACGME Faculty Survey Report
    • ACGME Resident Survey Report
    • Internal Program Eval – Faculty
    • Internal Program Eval – Resident
    • PEC Meeting Minutes
    • Action items outlined in a spreadsheet (Area for improvement / Action Plan Item / Expected Resolution / Date Instituted / Target Date / Individuals responsible / Context / Status)

    MedHub ttems are pulled, by the GME office, from our program documentation:

    • Work Hour Reporting
    • Evaluation Completion Reporting
      • Faculty
      • Trainee
    • Submission of Final Summative Evaluation Documentation for Graduation
    • Submission of Verification Training Documentation for Graduates
    • Rotation Schedule Management (Built & Maintained)
    • CCC Members & Reporting
    • PEC Members & Reporting
    • Portfolio Requirements

    Once submitted (100% completion rate), the DIO and select members of GMEC / RRSC review the APE and make recommendations to the GME office.

    Programs are then scored and rated. A report is generated for each program, outlining our performance and making recommendations.

    It is a process, yet it is tied up with a bow and archived. Easiest if maintained throughout the AY.

    We’ll be using New Innovations moving forward. However, prior we used the ACGME Template (attached). I schedule the PEC with my faculty and after my PD and myself go over the minutes from the PEC and  he completes the APE. After, my PD presents the APE to the GMEC at the end of the AY.
