    ARCOS Members,

    We appreciate your concerns regarding the 2020 ARCOS Meeting. Although we certainly understand the public health issues surrounding the decision of institutions to ban travel, we are of course, saddened that several of our members are no longer permitted to attend our meeting. We have a wonderful meeting planned and have been looking forward to our annual “meeting of the minds” for quite some time.

    As a reminder, ARCOS is an affiliate of the AAOS and our annual meeting takes place during the AAOS meeting. This enables us to take advantage of several AAOS meeting and convention services. Having our meeting at AAOS also allows us to benefit from the expertise of many individuals and organizations that are already present at the annual meeting. In short, many of our speakers are already attending AAOS and take time out of their schedules to also present at ARCOS.

    That being said, as of today, the AAOS has not cancelled their annual meeting. As such, the ARCOS meeting will take place March 24 – 27, 2020 as scheduled. We are monitoring the situation daily and are working directly with individuals at AAOS to learn more and to share our concerns and issues, as an organization. We will apprise all members of any changes as soon as they occur.

    ARCOS is committed to the health and safety of our attendees. We have been assured by our meeting hotel that precautions are in place in terms of increased access to hand sanitizer and other safety measures.

    We understand that many of our members are no longer able to attend. Please note our updated cancellation policy as follows:

    ARCOS Cancellation and Refund Policy (updated 3/9/2020):
    • Cancellations can be made, for any reason, up until 11:59 PM on Wednesday, March 11, 2020. Please note that this is later than our original cancellation date. Cancellation requests must be submitted in writing to arcosonlineinfo@gmail.com
    • All cancellations made on or before March 11, 2020, your meeting registration fee will be fully refunded.
    • ARCOS reserves the right not to issue meeting registration refunds for cancellations received after March 11, 2020.
    • If a member must cancel due to institution travel bans enacted after March 11, 2020 the member must submit their cancellation in-writing along with official documentation of the institution’s travel ban to arcosonlineinfo@gmail.com.
    • ARCOS will continue to assess the situation to determine if we will be able to offer refunds for meeting registration fees resulting from institutional travel bans. A decision may not be made until after the meeting. This is the only exception to the cancellation policy that will be considered.

    Today, I received a statement from the Rosen Centre Hotel in regards to the health and safety of the those staying and/or attending our meeting at their hotel. Please see attachment.

    ARCOS will also be providing a bottle of hand sanitizer for all attendees in their meeting bag received at registration.

    After much consideration and discussion, the Academy Board of Directors has made the difficult decision to cancel the 2020 Annual Meeting scheduled for March 24-28, 2020 at Orlando’s Orange County Convention Center (OCCC).
