Good morning or afternoon, depending on when you are reading this!
Happy Interview Season!!
Does anyone have a letter or document you have applicants sign acknowledging they have received a copy of the ACGME contract and any other documents we should share with them? If so, will you please share it with me (honor@jhmi.edu) or all of us?

We do not have an acknowledgement letter. We used to email them the sample contract/other required information with the interview invitation and ask them to send us an email acknowledgement that they had reviewed the information. Now that we conduct only virtual interviews and the invitations are sent through Thalamus, we include that information in the invite and state that by scheduling their interview, they are acknowledging they have reviewed the policies. The wording we use is as follows:
“Prior to scheduling your interview, please review the information found under the “Appointment Agreement and Policies” tab on this link – https://www.ohsu.edu/school-of-medicine/graduate-medical-education/incoming-residents-and-fellows – as well as the attached OHSU Interview Recording Agreement. By scheduling your interview through Thalamus, you are acknowledging that you have reviewed and understand the agreements and policies.”Thank you,

We don’t do a specific document for them to sign. I have a document called To Know More, which has a number of links to access information about our program and community. Several of those links take the applicants directly to where our policies are posted for review on our public-facing website. I send a message through ERAS to all our invited applicants with that document attached. I request that they review those links about policies specifically and then reply to the ERAS email or directly to my email to confirm they have reviewed them. I save their email responses in an Outlook folder and track their response date on a spreadsheet to make sure I hear back from everybody!

Here at the University of Cincinnati, all applicants that are being interviewed are required to review our Standard Terms and Conditions, benefits, and a sample of the contract, then sign the attached Acknowledgement Letter and return it prior to their interview. I keep the signed forms in my file for the current Match year.

Included in this is a link to an attestation in REDCap (Survey Monkey, Google form, etc all work) that they are asked to complete at least 24 hours before their interview. They attest to receiving all of the information, and – for virtual interviews – they agree to not record /release anything from the interview.
