    Good morning and Happy Mardi Gras!

    I am seeking guidance on potentially creating a “master calendar” that would house conference schedule, resident leave, sports coverage, etc. instead of what we are currently using – MULTIPLE excel spreadsheets calendars that don’t communicate to each other.

    I was wondering if anyone has done this and your experience if you have! For context, we use Teams and mainly Microsoft programs for our institution. I have created a Gmail for our program for a Google calendar as that is typically a bit more user friendly and things can be color coded.

    Hi Lauren,

    I have mantained a group canander on outlook for years-even call it the Ortho Master Calander.

    We inclued all vacations, interivews, meeting, didatics, grand rounds. I also use this to list our rotators and studentes that are with us that week/month.

    When entering time away I list the resisents last name and what rotation they are on, so I can make sure we have adaquate coverage at a quick glance.

    Each catagory has a color and I have an email address (not mine personally) that I send out calander events and meetings so I can avoid the dreaded meeting invite accepance or declination.

    I have attached a screen shot so you can see how we use it-hope this helps.

    I do the same thing as Kerwin through Outlook using a general email account I created through the University. This is now where I have them request time off as well. I have them create a calendar invite, invite all necessary parties, include their reason, etc., and then it’s approved through there and automatically added to the master calendar. We’re a smaller program, so it has worked well for us (so far).

    Hi Lauren,

    We have a master spreadsheet with tabs for the rotation schedule, call at each location, education (including attendance at education conferences), holidays, time off, and faculty contact information. The administrative chief is responsible for the spreadsheet and tabs. The spreadsheet is shared in google docs and a few of the tabs are restricted so that only the admin chief can edit it. I am, hopefully, attaching the template.

    Hello All!

    My program is also trying to create a master academic calendar: one where I would own the calendar so I can add Team’s meeting links when applicable, add documents, invite certain people, etc.

    I would like to be able to do this while still allowing my chiefs to have access and be able to go in and edit/change the events when need be. For example, sometimes they need to switch lecture topics a week or two before.

    I have been painstakingly trying to figure out how to do this, so I wanted to ask if anyone has successfully accomplished something like this- where you own the calendar and chiefs can also edit it. If so, I would love to possibly hop on a call and listen to your wisdom!
