Hello everyone,
I have been included on the AOA-CORD Virtual Interview Work Group. We have been asked to come up with some suggestions for programs for the rapidly approaching interview season. Our group met via Zoom last night and had extensive discussions about what technologies programs are considering to interview candidates. The Work Group asked that I bring this question to the ARCOS membership to see what your programs are looking at (Zoom, Thalamus, Microsoft Teams, etc.) and what suggestions you all have to manage interview days. Are you considering interviewing the same number of candidates or fewer candidates, and are you adding more interview days or staying with the same number. We are very interested in your thoughts and suggestions, so please post away. We are meeting again next week, so I’d like to have solid responses to report back. Thanks so much for your time and consideration!

Here at Montefiore we will likely use zoom to conduct our virtual interviews. We have been using zoom a lot over the last few months and have been happy with it. We plan to interview 100 students which was the same as last year. Being that the interviews will be virtual I do not think we will get any cancellations.
Thanks for representing our group!
CourtneyJuly 1, 2020 at 7:27 am #2181Kim ReisingKeymasterWe plan to use either Microsoft Teams or WebEx – still working out the logistics for our virtual interviews format. We plan to interview at least 100 applicants as we have in the past. I agree with Courtney, cancellations will likely not be an issue this year.

Perhaps a survey could be created to capture the information. As for us here are UCLA, we plan on using Zoom, about the same number of applicants, however, we are increasing the number of days.
I do have a question. Is anyone planning on having panel or paired faculty interviews? Has anyone had success with that? If so, how might that look or work?
best,

At Brown we are planning on using Thalamus, our GME Department is looking at having all residency programs use it. I had a demo this morning with Jason Reminick, the CEO & Founder, I was very impressed with everything our program will be able to do with this system including inviting applicants, scheduling, scoring, inputting information from ERAS, interviewing, and it creates your rank list. Really seems too good to be true but the programs that use it, that I have spoken to, all raved about it.
If anyone is looking for a program to use I would recommend you request a demo by going to their website or by emailing Jason directly at jason.reminick@thalamusgme.com.

Would it be possible to arrange for training sessions for those not familiar with Zoom or Web Ex based format with regards to creating an interview season? I know I am not alone in this plight. Any suggestions for those of us not sure where to turn for format ideas, etc.
Thank You,

July 10, 2020 at 10:41 am #2194Laurel LewisKeymasterHi Starla,
Thank you for your work on this project! At WellSpan we plan to use Zoom and break-out rooms as soon as I learn how to do that! We will interview 30 applicants for 3 spots in our program and most likely just 2 days of interviews.Connie,
We have always had 2 interviewers per room in a round-robin type of interview day. We have 5 interview rooms with 2 faculty each, and one with 1/2 the residents in a small conference room. I make a schedule where 1 student enters a room with 2 faculty (1/2 the residents interview in the conference room, also). After 15 minutes is up, I have 5 more students waiting outside the 5 doors to go in. So, 5 students are interviewed every 15 minutes, then they go back to our staging room until their next interview. Half the faculty and half the residents interview in the morning and then the other half interview the same students in the same fashion in the afternoon. It is a long day but the residents that are not interviewing in the morning will entertain or torture them with a test. In the afternoon the other set of residents do the entertaining in our “staging room.” Sometimes in the afternoon the residents are just showing funny youtube videos to lighten the mood. The candidates have responded in post interview surveys that they like that they get to be 2 -1 with all the faculty for interviews a more personal interview.
Hope that makes sense.
